How to prepare images for official forms

Meet exact pixel dimensions, file-size limits and format rules for application photos and scans.

Read the requirements first

Application portals usually specify three things: the format (often JPG or PDF), the dimensions in pixels, and a maximum file size in KB. Note all three before you start — and always follow the official instructions over any general advice, including this guide.

1. Get the dimensions right

Open Image Resizer and switch to exact size. Enter the required width or height; the other side follows automatically so the photo isn't stretched.

If the form requires both an exact width and height in a different shape from your photo, crop the photo to that shape first (most phones have a crop tool), then resize.

2. Meet the file-size limit

Next, open Image Compressor and lower the quality until the file is under the limit. Around 75 usually keeps faces and text clear while reducing size a lot; go lower only if you must.

PNG files are saved as JPG when compressed, which is usually what forms want anyway.

3. Convert to PDF if required

If the portal wants a PDF, use Image to PDF. It accepts JPG, PNG, WebP, GIF and BMP — even mixed — and makes one page per image.

Check before you submit

Open the final file and confirm it is sharp, correctly oriented and the right size. Resizing and compressing also remove embedded camera metadata such as GPS location, which is a small privacy bonus for files you upload.
